HOUSEKEEPING INFO

If you have a specific question or concern about camps and classes, please email the Program Director

The following is the general information for all our classes, camps, and day workshops. 

Generally, within 48–72 hours of the beginning of camp or class, you will receive an email from one of our instructors about the specific class or camp you signed up for.

While the content of this page may seem a lot, we want to ensure you have a good sense of what to expect and what to communicate to your young artist.

PICK-UP/DROP-OFF:

  • Our facilities are locked for maximum security. We'll give you the phone number of one of our teachers before the beginning of camp. Please get in touch with them directly about pick-up and drop-off (you must pick up early, running late, etc.) 

  • Please only drop off your child at 10 minutes. Our teachers are busy setting up.  

  • If dropping off your child earlier than 10 minutes is essential, please get in touch with the Program Director first so they can confirm with the teachers. 

  • We check kids in and out through the Sawyer App; please be patient with our teachers as they do that. 


PICK-UP/DROP-OFF PERMISSIONS:

  • When you register, please let us know ALL caregivers who have permission to pick up the child. We will ask for ID at pick-up if we don't recognize the person picking the child up. 

  • We ask for written notification if there is a change or if you add someone to that list after registration.

LATE PICK-UP POLICY:

  • Please respect the time of our teaching artists and notify them that you are running late (we'll give you their numbers). 

  • For every 15 minutes a child waits after the end of the day, and a teacher has yet to be notified, a $5 late charge will be applied to the card on file.

LUNCH AND SNACKS:

We love snacks! But please know that Vibe's Studios are NUT-FREE. Some of our artists have severe allergies. Thank you for understanding. 

  • We encourage parents to pack enough snacks, even for 1/2 day camps. 

  • Please pack a generous nut-free lunch; campers get hungry! 

  • Please pack a water bottle. We do not carry bottled water

  • Please note: Often, young campers get so excited during breaks that they forget to eat. We remind them (sometimes multiple times) to eat before playing, but ultimately, we will not be "making" any child eat their lunch! We are happy to tell you if they ate, but we are not in a position to ensure they do. 


OUTSIDE TIME:

Vibe feels it essential that students can access the outdoors for exercise, play, and, often, for finding inspiration for their art projects. 

  • We spend some time outside, even during the fall and winter camps. 

  • We eat lunch outside, either on-site or in a nearby playground or park. 

  • Apply sunscreen before drop-off for warmer days, as our teachers and staff cannot do so. Wear hats, sunglasses, and extra clothing as needed. 

  • Sometimes, we'll have games involving water sprinklers, etc. We’ll give you a heads-up and make sure we have permission (and extra clothes!)


HEAT WAVES / SNOW:

In the case of a heat wave, Vibe reserves the right to cancel a class for the day if needed, as we believe the safest place a young artist can be is at home to prevent heat exhaustion. 

  • The St Johns Music Studio, The Craft Factory, and The Moose Lodge have cool-temperature classrooms or central AC and are appropriate for continuing classes with limited outside time under the shade.  

  • We will credit any missed classes due to heat or snow

CLASSROOM AND CAMP ETIQUETTE:

We love our young artists and teachers! We aim to be creative and have fun in a safe, inclusive, and respectful space, but sometimes, a young artist might not agree with the teacher or get along so well with others. 

  • We do our best to ensure that all young artists are respectful of each other, with no unkind words, inclusive games only, and hands to themselves.

  • We de-escalate situations by giving kids space, having one-on-one conversations, and redirecting. Sometimes, children need a quiet space to reflect and relax, and we provide that. We make sure we have one staff member per 4–5 students. 

  • If a child hurts or bullies another, we'll call their caregiver to take them home. After the end of the day, we'll discuss how to welcome them back. If you're worried, please reach out to the Program Director.


IF YOUR CAMPER IS NOT FEELING WELL:

If your child is experiencing any of the following, please keep them cozy at home. We’ll credit 50% of your class so they can enjoy the fun in the future when they’re feeling better. We know it’s frustrating when illness disrupts plans, and we’re here to help.

  • Fever: Any temperature of 100.4°F (38°C).

  • Vomiting or diarrhea 24 hours before camp.

  • Bad pain. 

  • Coughing that won't stop — or anything different about your child's breathing.


TOILET TRAINING / BATHROOM INDEPENDENCE:

Children should be fully toilet trained and able to use the bathroom independently, which involves:

  • Not relying on diapers or training pants.

  • Minimizing accidents.

  • Proactively communicating bathroom needs.

  • Pausing activities with ample time to reach the bathroom.

  • Independently managing clothing and self-cleaning after using the toilet.

  • Practicing proper hand washing and drying.

We can explore reasonable accommodations for children with documented medical conditions.

CANCELATIONS AND REFUNDS:

For Summer Camps, there are NO REFUNDS for cancelations after July 1st.

  • We do not offer refunds or credits for camps missed due to forgetting. Please enter the camp into your calendar, as we don't send reminders.

  • We refund for cancelations due to heatwaves, snow days, or any last-minute unforeseen circumstances on our part. 

  • Cancelations within 31+ days from the start of camp/class will receive a refund of 65%. 

  • Cancelations within 15-30 days from the start of camp/class will receive 40%.

  • Cancelations within 14 days from the start of camp/class: no refund 

OUR CAMPS ARE TAX DEDUCTIBLE:

You can write off Vibe camps and classes as childcare. Please save your receipt with our TAX ID (20-5930495) number and the classes you registered for. If you don't see it, check your SPAM folder.
